# Check OCR task history and troubleshoot failed files

> Trace a single file's result down through the task list, run history, and file details, read the status labels, and act on each failure message

## Overview

When a run finishes and the output folder holds fewer files than you expected, you need to find which file didn't produce a result and why. PreciseMD splits run information across three levels: the task list shows the most recent result, **History** shows the statistics for each run, and **File details** shows every file's processing status and failure reason within one run.

This article covers tracing a single file's result down through those levels, reading the status labels, and handling the common failure messages.

## What you'll learn

- Trace a single file's result down from the task list
- Read the status labels at both the run and file levels
- Diagnose a failure from its message and act on it
- Cancel a running task

**Estimated time: about 10 minutes**

## Applies to

- PreciseMD 1.4.0 and later

## Before you begin

- An OCR task exists and has run at least once. To create one, see [Schedule an OCR task to process a folder automatically](https://docs.ardge.com/en/knowledge/precisemd/schedule-ocr-tasks)

## Step 1: Check the most recent run

1. Go to the **OCR tasks** page
2. Look at the task's **Last run** column

That column shows the most recent run's status label and completion time. The statuses mean:

<table>
<thead>
  <tr>
    <th>
      Label
    </th>

    <th>
      What it means
    </th>
  </tr>
</thead>

<tbody>
  <tr>
    <td>
      <strong>
        Queued
      </strong>
    </td>

    <td>
      Queued, not yet started
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Processing
      </strong>
    </td>

    <td>
      Running
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Completed
      </strong>
    </td>

    <td>
      Every file processed successfully
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Partially failed
      </strong>
    </td>

    <td>
      Some files failed to process
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Failed
      </strong>
    </td>

    <td>
      The run failed
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Stopping
      </strong>
    </td>

    <td>
      A cancel request was sent and the run is winding down
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Stopped
      </strong>
    </td>

    <td>
      Canceled
    </td>
  </tr>
</tbody>
</table>

## Step 2: Open the history

1. Click the action menu on that task's row
2. Choose **History**

Each row on the **History** page is one run, with these columns:

<table>
<thead>
  <tr>
    <th>
      Column
    </th>

    <th>
      What it shows
    </th>
  </tr>
</thead>

<tbody>
  <tr>
    <td>
      <strong>
        Start time
      </strong>
    </td>

    <td>
      When the run started
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        End time
      </strong>
    </td>

    <td>
      When the run finished
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Trigger
      </strong>
    </td>

    <td>
      <strong>
        Scheduled
      </strong>

       or <strong>
        Manual
      </strong>
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Status
      </strong>
    </td>

    <td>
      That run's status label
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Progress
      </strong>
    </td>

    <td>
      Completed files as a percentage of the total
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Total files
      </strong>
    </td>

    <td>
      How many files that run scanned
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Succeeded
      </strong>
    </td>

    <td>
      How many files processed successfully
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Failed
      </strong>
    </td>

    <td>
      How many files failed
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Duration
      </strong>
    </td>

    <td>
      Elapsed time from start to end
    </td>
  </tr>
</tbody>
</table>

Once a run ends, the **Progress** column switches to an icon: a check for completed, a cross for **Failed** and **Partially failed**, and a minus for **Stopped** and **Stopping**.

## Step 3: Check a single file's result

1. Click **More details** on the run record you want to inspect

Each row in the **File details** window is one file, with **Updated**, **File name**, **Status**, **Duration**, **Pages**, and **Notes** columns.

The **Notes** column depends on the status:

<table>
<thead>
  <tr>
    <th>
      Status
    </th>

    <th>
      What Notes shows
    </th>
  </tr>
</thead>

<tbody>
  <tr>
    <td>
      <strong>
        Completed
      </strong>
    </td>

    <td>
      Empty
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Skipped
      </strong>
    </td>

    <td>
      <strong>
        Content unchanged
      </strong>

      . The file matches the previous run and wasn't reparsed
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Deleted
      </strong>
    </td>

    <td>
      <strong>
        Source deleted
      </strong>

      . The source file no longer exists
    </td>
  </tr>

  <tr>
    <td>
      <strong>
        Failed
      </strong>
    </td>

    <td>
      The specific failure message, or <strong>
        Processing failed
      </strong>

       when there is none
    </td>
  </tr>
</tbody>
</table>

## Step 4: Review the actual output

Files that processed successfully can be read straight from the interface.

1. Go to the **OCR tasks** page and click the task's name
2. Find the file's row on the **Run results** page
3. Click **View result** in the **Result** column

The **Run results** page has **File name**, **Status**, **Result**, **Processing time**, and **Notes** columns. Files whose status isn't **Completed** offer no **View result**.

## Step 5: Cancel a running task

1. On the **History** page, find a run with status **Queued** or **Processing**
2. Click **Cancel** on that row

The page shows "Cancel request sent", the status turns to **Stopping**, and then **Stopped** once it winds down.

<warning>

**A finished run can't be canceled:**

If the run had already ended before your request arrived, the system replies "Can't cancel: the task is no longer running".

</warning>

## Troubleshooting

Failure messages that can appear in the **Notes** column:

<table>
<thead>
  <tr>
    <th>
      Message
    </th>

    <th>
      Likely cause
    </th>

    <th>
      What to do
    </th>
  </tr>
</thead>

<tbody>
  <tr>
    <td>
      <code>

      </code>
    </td>

    <td>
      That file's content couldn't be parsed
    </td>

    <td>
      Upload the file on its own in <strong>
        Playground
      </strong>

       to confirm whether the file itself is the problem
    </td>
  </tr>

  <tr>
    <td>
      <code>
        The file is corrupt or unreadable
      </code>
    </td>

    <td>
      The source file is damaged, or reading it was interrupted
    </td>

    <td>
      Regenerate the file at the source and run again
    </td>
  </tr>

  <tr>
    <td>

    </td>

    <td>
      The extension was accepted, but the actual content isn't a supported format
    </td>

    <td>
      Check the content matches the extension. For the supported list, see <a href="https://docs.ardge.com/en/knowledge/precisemd/formats-and-limits">

  </tr>

  <tr>
    <td>

    </td>

    <td>
      Confirm the model status is <strong>

      </strong>

       in AI Model Center, then run again
    </td>
  </tr>

  <tr>
    <td>

    </td>

    <td>
      The connection to the NAS dropped mid-run
    </td>

    <td>
      Check the network and shared folder settings, then run again
    </td>
  </tr>

  <tr>
    <td>
      <code>
        Insufficient NAS permissions
      </code>
    </td>

    <td>
      The NAS account lacks permissions on that folder
    </td>

    <td>
      On the NAS, grant read access to the source folder and write access to the target folder
    </td>
  </tr>
